We built this because we needed it
My name is Obed. For the best part of a decade I have run a marketing and creative agency in Accra. Good clients, good work, and underneath it the same three problems every single month: chasing money that I was supposed to have earned, keeping relationships with clients I could not afford to offend, and doing work my clients could not see.
I also run a software company. So when nothing we tried could fix those problems, we built the thing we needed, ran the agency on it, and then opened it up to every service business facing the same problems.
Next week, next week
It was never one polite reminder.
First
An invoice emailed and never acknowledged.
Then
A phone call. “Next week.” Another call the week after. “Next week.”
Then
A WhatsApp message, because that is the one some people actually read. And asking for money in the same channels where you send the work makes every conversation awkward, until it starts to destroy the relationship itself.
On a monthly retainer it was worse. A payment due at the end of the month would quietly become two months, then three, sometimes four, while we kept delivering. Some clients on recurring plans started to ask why they were still paying at all, because from where they sat nothing visible had happened.
You are running a business. You need the cash to flow. And the longer the promises pile up, the more you start to resent the client, and then the work you still owe them. That is a terrible way to feel about people you want to grow with. Feeling shy to ask for money that is already yours is not a small thing. It wears the relationship down from both sides.
What it did to the business
Income you cannot plan around
The work was steady. The money was not. Two clients paying late in the same month is the difference between a comfortable month and a tense one, and you only find out which you are having halfway through it. So every decision, a hire, new equipment, a bigger office, came later and smaller than it should have.
The worth of the work, argued every time
Serious work, valuable work, work that was bringing the client real results, and still the hope that it could be done for less, or for free. At the same time, they wanted our very best. “Just add this small thing” came often, from clients I could not say no to, and never with a price attached. Individually reasonable. Together, a retainer that doubled in effort and never moved in price.

Some clients called, some sent a WhatsApp, some sent an email, and some expected an answer at any hour. Messages scattered across all of them, files asked for again months later, the same question answered for the fifth time. None of it difficult. All of it landing on people who should have been doing the actual work.
Work nobody could see
What we delivered was intangible. The value lived in a separate report, a call to explain the month, a message here, an email there. There was no one place where a client could see what they were paying for. So at renewal they remembered the fee and not the work, and when you are re-selling every month, you discount. I know we undercharged for years because of it.
And what it did to us
A service business earns from time. In the early days, ours earned from my time and my partners’ time. Growing meant finding more people as good as the best of us, and that meant more cost before it meant more income. Every new client brought new revenue, and the same headaches, multiplied.
It is one thing to have a hard month. It is another to stop enjoying the business you started. That is what happened to me. The end of the month was stressful whether or not the work went well. Sunday evenings went into writing the monthly client reports and the reminder messages nobody wanted to send. Phones came out at dinner because a client had sent something to a personal number. I could not properly step away, and I was not the only one on the team who felt it.
The problem was never just software. It was running a real business on tools and habits that were never designed for it.

Then more software
A project tool our clients would not log into. Tools for this, tools for that, all built by different companies, none of them talking to each other. Where we billed a client had nothing to do with where we delivered their work, so we did the joining by hand.
And almost all of it was built abroad, for problems as they look abroad. Some of it did not support our currency. Some of it could not take money the way our clients actually pay, for example by mobile money. Some of it cost more than a small agency here can justify. Each tool solved a piece of the problem, but never the local piece, because the people who built it had never faced it.
Somewhere in there I realised we had to sell, bill and deliver our service as a product.
A good part of what we were struggling with was never a software problem at all. Paying late is normal here, not out of malice, just how a lot of business gets done. And in Ghana you do not only serve clients, you serve people you know. The client who is late this month is your church member, a family friend, the one who referred you two others last year. Enforcing your terms on them feels like insulting the relationship. So you become the friend and the debt collector at the same time, and mostly you suffer quietly.
Think of airtime. When it runs out, the calls stop. Nobody argues about it, nobody takes it personally, because that is how the product works. A product carries its own terms. A service, the way most of us run it, carries none, so every late payment turns into a personal negotiation, and the only lever left is a confrontation nobody wants to have.
In an Akan court, the chief does not make the awkward demand himself. His Ɔkyeame, the linguist, speaks for him, with weight and with dignity, and the relationship stays clean because the demand did not come from the chief. That is what we were missing: something that speaks on our behalf.
So the answer was not more software. It was a system: policies decided once, calmly, in advance, and the delegation and automation to carry them out. Package how you sell. Package how you bill. Package how you deliver.
That part is worth taking whether or not you ever use our software: decide the rules while you are calm, tell the client at the start, and let something other than your goodwill do the enforcing.

The client reviews the terms and ticks to accept, the way they would for any product, so contracts are only needed for the big projects.

Invoices raise themselves on schedule. Clients pay by card or mobile money, or by bank transfer you record in one tap, with receipts sent and taxes handled. Reminders go out before and after the due date, in a sequence you write once, whether or not anyone felt like sending them.
How you deliver, packaged
The work lives in a client portal under your brand: deliverables, progress and the monthly report you write, from templates, on a schedule. And if an invoice stays unpaid, access to that portal pauses under a rule the client agreed to at the start, not after a confrontation somebody had to find the nerve for.

We built it ourselves, at Premier Tech Lab in Accra, for the agency to use. Not as a side project, but as the thing we needed on a Monday morning. Every part of it answers a real problem we had. The reminder sequence exists because someone on my team was sending those messages by hand and dreading every one. The portal exists because clients had no single place to see their work, its progress and what they were paying for, so every update meant another call, another message, another email. The reports exist because good work kept being invisible at exactly the moment it needed to be seen.
Packaged brought structure to the agency. Delegation finally worked, because my team could step into a system that had the policies and did the enforcing on everyone’s behalf. Clients who chose to pay by card, for the pay-online discount, were charged automatically every month. Little by little, what we earned stopped depending on my hours, and we could take on more clients without taking on more headaches. The money coming in each month was in front of us every day instead of in someone’s spreadsheet.
And I fell back in love with the business I started. Watching my team’s excitement as the chasing and the awkward conversations reduced was the best part.
